How Does Your Email Box Looks Like?

Do you have time for something else than tickling your email box all day?

I am not talking here about those who directly depend on the email and have to act quickly in the relationship with a client or a colleague. Nor the colleague that sits two feet away but emails you in an attempt to protect his own ass in case something occurs, instead of clearly stating his needs.

I am definitely referring to the email addicted, those that go into withdrawal if they don’t press the send/receive button every few minutes.

There is a life outside emails, and your productivity is mostly affected by the way you organize emails, the second position being held by the time spent on social networks.

I am not saying you should ignore these communication channels, just that you should manage them in a manner that it’s useful for you, not in one that works against you.

Try these recommendations, don’t dismiss them from the start:

  • read your emails 3-5 times a day and act accordingly, especially to the urgent ones (not necessarily important);
  • don’t leave out emails that can be answered immediately, leaving them for later will only cause pilling up;
  • delete as many emails you can. Delete is one of the most important and useful functions of the Inbox history;
  • you decide whether an email is urgent, not the sender; it must convince you (preferably even from the subject line) whether it’s important to you, not just for him;
  • generously mark as spam; I would be very happy if I could do this with all the spam (unannounced) visits that affect you more than spam emails; truth be told they cannot be blocked as impolite 🙂 ;
  • if it’s not really necessary to give a written answer, a phone is always more friendly and efficient, even more than an email;
  • don’t leave unsolved emails in your inbox if they are a (working) day older, archive daily the important ones; other than this we can get back to the “Deleteall – cleaner of the most annoying emails”;
  • always respect the deadlines, it shows that you are reliable; if for some reason you cannot deliver in due time, communicate this to the sender. It’s like having a date and the interlocutor doesn’t show up in time, he doesn’t call or doesn’t show up at all;

  • generally, if someone has something very urgent to tell you, they’ll definitely call, not email;
  • ignore weekend emails, even on your mobile devices; if it’s something that important that needs to be taken care of, you’ll be called, messaged, messenger-it or stalked shamelessly;
  • use colors for the emails received from important persons and you’ll be soon able to prioritize them better;
  • use the rule that moves all the emails in which you are in carbon copy in a separate folder, not your inbox; if the sender wishes to address you directly they should do so, not put you in cc. It is like two people talk in the hallway of the company, and you go to them saying “I don’t want anything, I am just here in cc,just wanna listen”.

If you start ignoring emails from now on, just because you read here, although your job depends on it, think before doing it. On the other hand, if you’re just addicted to e-mails, think about how it can affect your productivity and especially how much time you lose every day with your approach.
